Why more and more WhatsApp Business accounts get suspended

The free WhatsApp Business App is built for one entrepreneur with one phone, chatting with customers who already know them. The app is good at that. But anyone who uses the app to follow up leads, reactivate old enquiries or send a promotion to their customer base gets blocked more and more often. Sometimes after a few days, sometimes from one day to the next.

That is no coincidence. Meta enforces the rules for business use more strictly than ever. The policy is clear: you may only message someone who has given you their number and their permission. Get a lot of negative feedback and your WhatsApp Business is restricted or even blocked entirely. You never see it coming in the app: there is no score and no warning up front.

WhatsApp Business blocked or suspended: how to spot it

A WhatsApp block does not announce itself. You open the app and see a message like "This account can't use WhatsApp" or "This account can no longer use the WhatsApp Business app". There are two variants:

  • Temporary suspension: a timer counts down until you are allowed to send again. Often after a spike in the number of messages or the use of an unsupported app. If it happens again, the suspension can become permanent.
  • Permanent suspension: the number can no longer use WhatsApp. You can request a review, but the outcome is uncertain and it takes days.

In both cases you lose contact with everyone you are messaging at that moment: customers get no answer, quotes sit untouched and appointments pass by without you noticing.

The 7 reasons Meta blocks a Business App account

Almost every block we see during onboardings comes down to one of these seven causes:

  1. 1Messages to people who do not know you. Anyone who has not saved your number sees an unknown number and taps Block or Report. Every report counts.
  2. 2The same message to many people at once. Meta recognises broadcast lists and copy-paste campaigns as bulk messaging, even when the content is perfectly polite.
  3. 3A lot of reports in a short time. Even existing leads report you when they suddenly get an offer after months of silence. A handful of reports in one day is enough.
  4. 4Unsupported apps and bulk tools. Modified versions of the app or extensions that send automatically are named by Meta itself as a reason for suspension.
  5. 5Importing contacts without permission. Loading a trade fair list or a purchased database and messaging them goes against the policy: those people never gave you permission.
  6. 6Messages that look like spam. A short text with a link, without a greeting or any context, from a number with no conversation history. Recipients do not trust it and report it as spam. If your WhatsApp Business is banned for spam, this is usually the cause.
  7. 7Carrying on after an earlier warning. Anyone who keeps doing the same thing after a temporary suspension does not get a timer next time, but a permanent block.

The painful part: these are exactly the things a growing company wants to do. Follow up leads, reactivate customers, send promotions. The app simply was not built for it.

What the Business App does do well

Let us be fair: for many small businesses the free app is perfectly fine. Why take a business account on WhatsApp at all? The advantage of WhatsApp Business is that you can start for free and straight away with a business profile. You get:

  • A business profile with opening hours and address
  • Labels, quick replies and an away message
  • A product catalogue
  • Your phone plus up to four linked devices
  • Broadcast lists of up to 256 recipients, although only people who saved your number actually receive the message

The limit sits with scale and direction. Replying to customers who approach you: no problem. Why the Cloud API handles this differently

The WhatsApp Cloud API, which CommuniQate runs on, was built by Meta for exactly this use: companies that start the conversation with groups of contacts themselves. The rules are not softer, but you know in advance what is allowed and you get steered in time:

  • Approved message templates. Every message you send first goes through Meta's review as a WhatsApp message template beforehand, usually within 24 hours. So you know before sending that it is allowed.
  • Opt-in on record. Meta's opt-in rules require every recipient to give permission up front. On the API that permission is registered per contact and the recipient can unsubscribe themselves. A complaint becomes an unsubscribe, not a report to Meta.
  • A visible quality score. Your dashboard shows how your messages are received, so you can adjust before Meta steps in.
  • Conversation limits that grow with you. You start with 250 unique contacts per 24 hours, 2,000 after business verification, and with good use on to 10,000, 100,000 and unlimited.
  • No all-or-nothing. If something does go wrong, your limit drops one level first. A warning you can act on, not a black screen.

On top of that, you can connect WhatsApp Business to your CRM, a team inbox and automations. But for anyone who has been blocked, this is what matters most: you know where you stand.

Honest: cold spam is not allowed on the API either

We say this to every customer who comes to us after a block. The Cloud API is no licence to message a purchased list: the same rule applies, only messages with permission. Otherwise your quality score drops, your limits fall and Meta can ultimately restrict an API number too.

The difference is that the API gives you every means to do it properly:

  • Click-to-WhatsApp ads with which a lead starts the conversation themselves, after which you may reply free of charge for 72 hours
  • QR codes, chat links and a website widget that record permission the moment someone gets in touch
  • Forms in which a customer explicitly states that they want updates via WhatsApp
  • Segments so you only send a promotion to the people who are actually waiting for it

Leads who got in touch earlier, customers with an appointment, people who signed up: those you may approach with an approved template. That is where the revenue sits, and that is exactly what the free app is blocking you for now.

What to do if you are blocked right now

Are you sitting with a suspended account right now? This is the order we recommend:

  1. 1Request a review through the app. Straight from the notification, short and factual.
  2. 2Do not try workarounds. A new number with the same working method or a modified app only increases the chance of a permanent suspension.
  3. 3Inform your customers through another channel. A short email or a notice on your website, so questions do not pile up.
  4. 4Save what you can. Export important conversations while you still can; chat history from the app does not come along to the API.
  5. 5Use this moment for the switch. A company that follows up leads and sends promotions belongs on the Cloud API. With a temporary suspension you can usually take your number with you, with a permanent one a new business number is often the fastest route.

Why is my WhatsApp account blocked?

Will I never get blocked again on the Cloud API?

Anyone who only sends messages with permission and through approved templates runs hardly any risk in practice.

Can I bring my blocked number over to CommuniQate?
