The whole customer journey in one picture

From letter on the doormat to handover: every step runs through the same WhatsApp conversation.

Handover via Teamleader

From QR code to conversation

This is the first thing residents see after they scan their personal QR code: the address is already filled in and the property details from the BAG registry are looked up automatically. Confirming takes one tap.

The letter from the energy desk lands on the doormat, with a personal QR code: the postcode and house number are already in it.

Scanning opens WhatsApp straight away; the property details from the BAG registry are already there, from energy label to year of construction.

Fill in a name, book the energy scan via Cal.com, and after that Gijs handles the confirmation, the questions up front and the reminders.

The challenge

Groen in je Straat, known locally as GIJS, makes homes more sustainable, from the energy scan all the way to installing insulation, solar panels and heat pumps. Working from its own energy desk brand, the team from Hengelo joins forces with municipalities: neighbourhood by neighbourhood, residents receive a letter encouraging them to make their home more sustainable.

But between that letter and a scheduled appointment there was too much friction:

  • Calling? Residents are at work during the day and do not pick up.
  • Emailing? It gets read, but rarely answered.
  • Getting in touch themselves after a letter is just a bit too much effort for residents.

The result: a lot of chasing by phone, a schedule that was hard to fill and a team that spent more time following up than making homes sustainable.

This journey runs through CommuniQate from sign-up to handover, fully integrated with Cal.com and Teamleader. The resident is kept informed the whole time.

The solution

Together with CommuniQate, every letter got a personal QR code with the postcode and house number already built into it. One scan with the phone and the resident is in a WhatsApp conversation with their own address already filled in.

  • The property details from the BAG registry (energy label, floor area, year of construction, property type) are looked up automatically; confirming takes one tap.
  • The resident fills in their first and last name and books the energy scan straight away through the Cal.com integration, in that same conversation.
  • The confirmation, targeted questions up front and the reminders then follow automatically.

And it does not stop after the scan: project follow-up runs through the Teamleader integration, from the subsidy application to scheduling the installers. The resident is kept up to date via WhatsApp all the way through to handover.

How it works in practice

  1. 1Together with the municipality, the letter from the energy desk lands on the resident's doormat, with a personal QR code that already has the postcode and house number built into it.
  2. 2One scan opens WhatsApp: the property details from the BAG registry (energy label, floor area, year of construction, property type) are already there and the resident confirms them with one tap.
  3. 3The resident fills in their name and books the energy scan straight away via Cal.com, with an automatic confirmation.
  4. 4Three days beforehand, Gijs asks targeted questions based on the year of construction and the property type; one day beforehand a reminder follows, plus the question about gas and electricity usage.
  5. 5After the appointment comes a thank-you and Teamleader takes over: applying for subsidies, scheduling the installers and status updates via WhatsApp, all the way through to handover.

Conclusion

A letter only works if responding is easy. By giving every letter a personal QR code and connecting WhatsApp to Cal.com and Teamleader, GIJS turned the letterbox into a fully fledged channel: residents sign up, book their energy scan and are kept up to date all the way through to handover, all in that same conversation. That is how GIJS makes entire neighbourhoods more sustainable together with municipalities, street by street.
